Annual Reports

2009/2010

Welcome to our Annual report for Clayton Community Association 2009/2010.

Chairs Report

As always this has been a busy year 2009/2010. I would like to start by saying

THANK YOU to all the volunteers who we depend so much on for there support time and efforts. With out this hard working group we would not have a village hall coffee shop or indeed many other events and fundraising efforts.

Another eventful busy year. At the AGM May 2009 we voted in to the post of

Chair Phil Summers. Secretary Carol Thirkill. Minutes Secretary Celia Waller. Treasurer Jean Clayton. Fundraising Manager Eileen Edgley. Unfortunately after a short time in the post Phil became ill and had to resign. following Phil’s resignation we made two changes to the Committee. At the meeting in September the members voted and the outcome was I moved in to the role of Chair and Celia Waller took the position of Secretary and Minutes Secretary. Other positions voted in at the AGM stayed with the same people. Phil has made a good recovery and we wish him and his family our best wishes. Thank you Phil and Rachel for their contribution during the your time as Chair 2008/2009.

The Victoria Suite has been busy and profitable. The proceeds from the bar are a valuable source of income which is keeping our heads above water and providing revenue to complete the ongoing task of building maintenance and updates.

A big Thank You to the team Karen Summers and Helen Sharples for the excellent job they do running the bar, not forgetting Tony Thirkill who ensures our customers have everything thing they need to have a great venue for their celebration or event. They are all great ambassadors for the hall and there hard work generates a healthy income.

As I am sure you all know the new sliding sash windows have been installed. What a difference to the building both in terms of the appearance and the running costs, the savings I am sure we will see especially over the coming winters. The new flooring in the downstairs room and hall way’s is another of our achievement’s this year. Thanks to funding from Ward Investment Funding to carry out both these projects. A long process was gone through to gain this funding but I am sure all who have seen the interior of the building will agree well worth the wait.

The perimeter wall in front of the building has been rebuilt and the flags have been re- layed and replaced, the railings and gates will be in place over the next few weeks. Thanks to the Parish Council for the generous funding to carry out this work. They are a great support to this community and a large investor in the village hall. They have funded this project in full and continue to support the Village Hall on a regular basis.

We have at last agreed and are in the process of completing the tributes to our past valued members Ron Jack and Ken. The rooms to be named after these 3 gentlemen are I believe a fitting tribute to them, and their families, for all the hard work time and contributions they gave Clayton Village Hall.

We had a WIFI connection installed in the Village Hall we can now facilitate IT classes and any one wishing to connect to the Internet can do so if they have the password and access to a Laptop Computer. Further more we have been successful in gaining funds for a Photocopier This is now in place for the community to use for a small cost per copy. This can also be networked to any PCs in the future.

Celia has lead the project to update the Constitution and bring up to date the Land Registry Documents and have the Build assigned to the Charity Commission as holding trustees. This benefits the Hall as the liabilities and responsibility that Trustees used to bear has now been addressed.

The Future 2010/2011

Next year 2010/2011 there are still projects to be completed that began 2009/2010 the application to raise funding for a Centre Manager has been a long task due to the time these applications need to be put together and submitted this will be going in to the funders in the near future. I will of course keep you updated on any progress made.

Celia is working towards an Energy Audit this will identify areas were we may be able to save costs by more efficient insulation and improvements to our heating systems.

The next big fundraising challenge is to apply for funding for a passenger lift to the upper floors of the building, and to change the side entrance in Cobden St to a fully accessible door to be used to enter and leave the building.

New volunteers and committee members. are always welcome if you have any time or would like to get involved in the Village Hall. Please contact myself or any other member. There are numerous areas that we can always have a need for, a painter handy man, any contribution is greatly valued.

Visions and forward plans

We have achieved a lot over the last few years in terms of the upgrading and refurbishments of the building . I feel we have now reached a point were we have good facilities and we can now start to deliver a fresh new approach to what goes on in the Village hall. We have of course got the established groups and classes that use the hall. We now need to start and look at bringing in the types of services and groups that can assist people with those day to day issues we all have to deal with.

We have at the moment got a group offering advice services we need to build on this.

Our Colleagues from CECAG currently run a IT class in the Small upstairs room we need to extend and build up the numbers attending and benefiting from this class.

We need to build up a support system for the local people to be able to access help and assistance. And of course continue to support the community in any way we can.

By providing a safe environment for all to use and enjoy.

I am personally looking forward to the next year and hope we can continue to grow the services we provide.

Chair

September 2009/2010 Carol Thirkill
